Quotes

Price the work and send it for approval.

What this page is for

A quote prices the work and goes to the customer for approval. When they approve it, Trade Sure can make the job for you.

Do the common things

Write a quote

  1. Open Quotes and click + New quote.
  2. Choose the client and property.
  3. Click + Add line and pick items from your price list, or type your own.
  4. Save the quote. It starts as a Draft.

Offer options

  1. On the quote, click + Add option.
  2. Give each option a name and its lines, for example Good, Better, Best.
  3. The customer chooses one on their page. They never see your markups or margins.
  4. To reuse a set of lines, click Add package.

Pictures and quote templates

  1. Give a price-list item a picture under Products & Services (edit the item, Picture). Every quote line made from it shows the picture, and so do the job and the invoice.
  2. In the quote editor, click Picture or Change beside a line to upload a different one, or Remove to take it off that line only. Add an Intro picture above your message the same way.
  3. To reuse a whole quote, open it and click Save as template. Templates live under Products & Services > Quote templates.
  4. On + New quote, choose a template under Start from a template and click Use template. Leave Use today's price-list prices ticked to price the lines from your price list today. Then choose the client and create the quote.

Send it

  1. Click Preview as customer to check how it looks.
  2. Click Send to customer (email, WhatsApp or text), or Download PDF and send it yourself.
  3. If you send it yourself, click Mark sent / awaiting response.

Change a quote after sending

  1. Click New version. The old version stays on record.
  2. Edit the new version and send it again.

When the customer says yes

  1. The customer clicks Approve on their page. They can sign on screen.
  2. The quote becomes Approved and the job is made for you, with an unscheduled visit.
  3. You can also click Approve or Convert to job yourself if they agreed by phone.

Take a deposit when the customer approves

  1. Put the amount in Deposit required on the quote. Leave it at 0 for no deposit and the customer just sees Approve quote.
  2. With a deposit, the customer sees one green Approve & Pay Deposit button. They type their name, tick the box, and go straight to GoCardless to pay the deposit from their bank. In the same visit they can set up a Direct Debit for the balance (Settings > Payments).
  3. Without GoCardless, or if it is down, the quote is still approved and the customer sees your bank details with the quote number as the reference. You get a notification.
  4. The job shows Awaiting deposit and sits on Action required until the deposit is paid. Booking it warns Deposit not paid; press Override on the job to book it anyway (it is noted on the job).
  5. Paid another way? Open the quote and use Record the deposit.

Make the quote look finished

Write the intro, line descriptions and terms as plain text. A line like Our price includes (with two stars each side) becomes a small heading, lines starting with - or • become bullet points, and a blank line starts a new paragraph. The customer never sees the stars.

What the statuses mean

  • Draft: not sent yet.
  • Awaiting response: sent, waiting for the customer.
  • Changes requested: the customer asked for changes. Make a new version.
  • Approved: the customer said yes.
  • Converted: a job was made from it.

If something looks wrong

  • The customer says the link does not work: send it again from the quote.
  • A quote has expired: open it and set a new expiry date, or make a new version.
  • Totals look wrong: check each line's quantity, price and VAT.
