Do the common things

Create a job

  1. Click + New job.
  2. Choose the client and property, add a title and the work lines.
  3. Save. Add a visit to put it in the diary.

Choose how the job is charged

  1. On the job form, pick How this job is charged: Hourly, Fixed price (job type) or Fixed price (quote).
  2. Leave it blank on a new job and Trade Sure works it out: a job from a quote is a fixed-price quote; a job whose lines are all fixed-price products is a fixed-price job type; anything else is hourly.
  3. Hourly: the clock sets the labour line (first hour, then every started half hour). Fixed price: the clock is recorded but the price does not change.
  4. Once a visit has been finished the choice is locked.

Parts run

  1. When the engineer leaves site for parts, they press Parts run on the visit. When they return, Back on site.
  2. The clock keeps running for the time sheet, but only the minutes set under Settings, How you work (default 30) of each run are billed.

Add a visit

  1. Open the job and click Add visit.
  2. Choose the engineer, day and time. Click Book.

Finish a job

  1. After the last visit, open the job and click Complete job.
  2. The job moves to Action required if it still needs an invoice or a follow-up.

Invoice a job

  1. Open the job and click Create invoice.
  2. Check the lines and send it from the invoice page.

Repeat a job

  1. Open the job and find the repeat settings.
  2. Choose how often. Click Save repeats.
  3. Jobs made this way also appear under Contracts.

Pause a job

  1. Use Set status and choose On hold.
  2. Choose another status when work can start again.

What the urgency levels mean

Set the urgency on the job form. Smart scheduling uses it when it suggests times.

  • Emergency: today or tomorrow.
  • Urgent: within a few days.
  • Routine: when it suits the route.

The number of days for each level is under Settings, How you work, Maximum days ahead.

What the statuses mean

  • Unscheduled: no visit booked yet.
  • Parts to order: waiting for parts. See the Parts guide.
  • Upcoming and Today: a visit is booked.
  • Active: work has started.
  • Late: a visit date has passed and the job is not done.
  • On hold: paused on purpose.
  • Action required: finished, but it needs something from you.
  • Requires invoicing: finished and ready to bill.
  • Completed: done and billed, or closed.
  • Archived: hidden from normal lists.

If something looks wrong

  • A job is Late but the work is done: open it and click Complete job.
  • A job will not leave Parts to order: every part must be marked Arrived, not just Ordered.
  • You cannot find a job: check the filters and the Archived option.
